Cleaning & maintenance

Office cleaning company: find your service provider

Regular contract, evening or daytime visits, one-off deep clean: describe your premises, frequencies and hours, then compare quotes from commercial cleaning companies.

  • Free, account created only when you publish

  • Drawings visible to members only

Clean offices are both an obligation and a signal: in France, the Code du travail (labour code) requires employers to keep workplaces constantly clean, and visitors judge a business from its reception and its toilets. For most companies, agencies and shops, the answer is a regular cleaning contract with a commercial cleaning company rather than in-house staff.

The scope is wider than you might think: emptying bins and sorting waste, dusting desks, vacuuming and washing floors, cleaning toilets and break areas, but also interior windows, carpets and periodic floor restoration. Every site has its own constraints: open-plan or partitioned offices, public access, a shop floor, secure entry, staff present during the day.

This page helps you prepare a clear request: routine services, equipment and products, price factors, tips for writing your request, then frequencies, the contract and quality control. To structure your needs, use our specification generator, which adapts to cleaning services; for all cleaning trades, see the page on cleaning and maintenance of business premises.

Common services

01

Routine office cleaning

Emptying bins, dusting surfaces, vacuuming or washing floors, cleaning meeting rooms and circulation areas, following an agreed visit schedule and frequencies.

02

Toilets and break areas

Cleaning, descaling and disinfecting toilets, cleaning kitchens and kitchenettes, restocking consumables: soap, paper, hand towels.

03

Windows and glazed surfaces

Interior windows, glass partitions and shop windows at a suitable frequency; high-level surfaces are better handled by a window and facade cleaning company.

04

Carpets and floors: restoration

Shampooing or hot-water extraction of carpets, stripping and sealing of vinyl or tiled floors, to restore their original appearance.

05

Deep clean and contract start-up

An initial deep clean when you change supplier or after building work, before moving on to routine maintenance.

06

Shops and premises open to the public

Sales areas, shop windows, tills and reception, cleaned before opening or after closing, to a standard your customers can see.

07

Additional services

Disinfection of frequently touched points (door handles, switches), waste sorting and removal, restocking of dispensers and small on-demand tasks.

Equipment and products

Professional vacuum cleaners, backpack or trailing, with enhanced filtrationScrubber dryers and floor polishers for large areasCleaning trolleys and colour-coded microfibre clothsAll-purpose detergents, degreasers and sanitary descalersProfessional-use disinfectants for toilets and touch pointsHot-water extraction machines for carpetsConsumables: paper, soap, hand towels, bin bagsEco-labelled or low-impact products, depending on use

Clients and types of site

  • Company offices, head offices and open-plan floors
  • Coworking spaces and business centres
  • Shops, boutiques and branches open to the public
  • Professional practices: accountancy, legal, consulting
  • Medical practices, with specific protocols to be defined
  • Commercial buildings: lobbies, corridors and common areas
  • Training centres and meeting rooms

What affects the price

  1. 1

Floor area and type of flooring

Visit time depends on square metres, but also on furniture density, the type of floor (carpet, tiles, parquet) and the number of toilets. A breakdown of areas by zone avoids gaps between quotes.

  2. 2

    Frequency and length of visits

Labour makes up most of the cost of a cleaning service: the number of hours planned sets the price. Short visits carry proportionally more travel and set-up time.

  3. 3

    Hours and days of service

Unusual hours (very early, late evening, weekends, bank holidays) can bring labour surcharges. Ask bidders to price them separately.

  4. 4

    Scope and consumables

The price changes depending on whether paper, soap and bags are supplied by the provider or by you. The same goes for periodic services (windows, carpets, floor stripping): list them separately so you can compare like for like.

  5. 5

    Access and site constraints

Floors without a lift, access badges, alarms, sensitive areas or narrow access windows lengthen visit times and call for closer supervision.

  6. 6

    Standard required and contract length

Formal inspections or environmental requirements call for more supervision. A multi-year contract on a stable volume can improve the price, to be weighed against the exit terms.

Tips for a successful request

Post a request
  • Give the address and the floor area by zone (offices, toilets, corridors, special floors) and attach a plan if possible: it is the basis of any pricing.
  • Specify frequencies zone by zone: toilets and kitchens are often cleaned more often than offices, with windows and carpets as periodic services.
  • Give the possible time slots (before opening, evenings, daytime) and say whether keys, badges or an alarm need to be managed.
  • List the consumables: who supplies them, which dispensers, how often they are restocked.
  • Ask for a site visit before any firm quote: it lets the provider measure the real time needed and avoids unpleasant surprises.
  • Mention a change of provider: the transfer of staff provided for by the cleaning industry collective agreement in France applies under certain conditions, and bidders need to plan for it.

Frequencies and hours: sizing the cleaning plan

Frequency is the first lever for both quality and cost. Rather than demanding a “daily visit” everywhere, rank the zones by use and visibility. As an example, here is a common breakdown, to be adapted to your site:

ZoneFrequency often chosen
Toilets, kitchens and break areasEvery day the building is occupied
Reception, lobby and corridorsDaily, with attention to dirt brought in at the entrance
Offices and meeting roomsOne to several visits a week
Interior windows, carpets, floors needing treatmentPeriodic, planned in advance

As for hours, three arrangements dominate: before opening, in the evening after staff have left, or during the day while occupants are present. Daytime work makes the service visible and makes communication easier, but it calls for discretion and quiet equipment. Out-of-hours work avoids disturbing activity, but requires secure access (keys, badges, alarm) and a relationship of trust. In every case, write the working windows into the contract and set out what happens during closures, bank holidays and leave.

Regular contract: term, staff transfer and responsibilities

A regular cleaning contract is a long-term commitment. Check the term, the renewal arrangements, the termination notice period and how the price changes over time. Allow an initial period to adjust the cleaning plan after a few weeks of observation.

Two points specific to cleaning deserve your attention. The first is the transfer of staff: in France, the national collective agreement for cleaning companies (convention collective nationale des entreprises de propreté) provides that, under certain conditions, the employees assigned to your site move to the new provider when you change (annex 7). This rule binds cleaning companies first and foremost, but mention the change in your request so they build it into their offer. The second is the prevention plan: when an outside company works on your premises, the French labour code provides for a joint inspection of the site and a joint risk analysis, recorded in a prevention plan (plan de prévention) that must be in writing in certain cases.

Finally, ask for the insurance certificate for professional liability cover and, if your premises hold sensitive documents, a confidentiality clause. Meaflow checks the SIRET number (French company registration number) of registered companies, but does not verify their insurance: it is up to you to ask for the certificates.

Checking quality and choosing suitable products

A good contract sets out how quality will be measured: an inspection checklist per zone (floors, surfaces, toilets, windows), regular visits with the provider’s manager, a liaison book to report problems and a deadline for putting right any defect found. Ask how and how often the company’s own supervisors check the service.

On products, ask the useful questions: which detergents and disinfectants, which safety data sheets, what training for operatives? Some products carry an official ecolabel, such as the EU Ecolabel for certain families of detergents, and some companies work with methods that use fewer products (microfibres, steam). That is an interesting avenue, but a label is no substitute for choosing the right product for each surface or for reading the label: only require one if you need it, and check what is actually offered.

For other services on the same site, also compare window and facade cleaning or hygiene and pest control. After building work, final cleaning can be included in the project: see renovation and fit-out of premises. Ready to get quotes? Post your request or browse the office cleaning suppliers.

Frequently asked questions

A question not answered here? Visit the help centre or write to us.

How often should offices be cleaned?

There is no single rule: it all depends on occupancy and how visible the areas are. Toilets and break areas are generally cleaned every day the building is occupied, while offices may be cleaned one to several times a week. Windows and carpets are a periodic service. A reliable provider will propose a suitable plan after visiting the site.

How is the price of a cleaning contract calculated?

The price rests mainly on the labour time required: floor area, type of floors, number of toilets, frequency, hours, consumables supplied and access constraints. A reliable quote sets out these assumptions. Always compare on an identical scope, and be wary of a price far below the others, which may hide insufficient time on site.

Is a site visit needed before the quote?

It is strongly recommended. A visit lets the provider measure the areas, identify the flooring, access arrangements and constraints (alarm, badges, sensitive areas) and adjust the time per visit. A remote quote is still possible for a simple need, but it relies on your information and may be revised after the visit.

What happens to the staff if I change provider?

In France, the national collective agreement for cleaning companies provides, under certain conditions, for the employees assigned to your site to be taken on by the new provider (annex 7). This rule applies to cleaning companies, not directly to you. Even so, mention the change in your request and ask bidders how they will handle it.

Can cleaning be done during the day rather than outside working hours?

Yes, it is possible and some companies are happy to offer it. Daytime cleaning makes the service visible and limits out-of-hours access, but it requires discreet equipment, warning signs on wet floors and good coordination with your teams. State the possible time slots in your request to receive the most suitable arrangement.

Does the supplier need to be insured?

In practice, yes, it is essential: ask for a current professional liability insurance certificate covering damage to your premises and belongings. Meaflow checks companies’ SIRET numbers (French company registration), not their insurance. Above a certain contract value, French law also requires you to check the supplier’s compliance with social obligations.
